convenience store reporting software
Convenience store reporting software for independents.
Category-level sales, tobacco margin, lottery exception reporting, manager performance, cash variance, and multi-location rollup, formatted as an owner brief instead of a 60-page report.
Who this is for
Independent c-store owner-operators and bookkeepers who currently run reports out of the POS, the bank app, the lottery portal, the QuickBooks dashboard, and a master spreadsheet.
Why the current workflow breaks.
POS reports answer one question at a time.
A standard c-store POS produces ~40 reports. Each answers one question well, yesterday's sales, today's cash, this week's top SKUs. None of them answer "which store-shift-category combination is leaking margin." The cross-cutting analysis is what the operator needs and it's what the POS reports don't do.
The master spreadsheet is the operator's real reporting system.
In practice, most independent operators run their reporting out of a master spreadsheet that aggregates POS exports, bank statements, lottery commission reports, and vendor invoices. The spreadsheet grows by one column per store, by one tab per quarter. By year three it's nobody's favorite file.
60-page weekly reports go unread.
Enterprise back-office tools produce comprehensive weekly reports. The depth is real; the readership is not. Independent operators don't have a back-office team that reads 60-page PDFs. The reports that get read are the ones that fit on a phone screen with a clear ask.
The workflow
How it actually runs.
The same sequence on every store, every shift: pre-populated where possible, with attribution baked in.
- 01
Every store streams data into the same tenant.
POS sales, EOD closes, lottery scans, fuel reconciliation, invoice OCR, all flow to one place. No per-store report aggregation.
- 02
Category-level sales aggregate automatically.
Tobacco, beer/wine, beverages, snacks, candy, food service, general merchandise, lottery, each category rolls up per store, per day, per week. Margin per category computes against vendor cost.
- 03
Manager performance ranks across stores.
EOD compliance, variance frequency, average close time, lottery accountability, by manager. The top performers and the laggards both surface without subjective evaluation.
- 04
Daily owner brief lands at 7 AM.
Yesterday's sales by store, top three variance events, top three lottery exceptions, fuel margin band per grade per store. One page, on a phone, no PDF.
- 05
Weekly and monthly rollups land at the same cadence.
The Monday morning brief covers the prior week. The first-of-month brief covers the prior month with year-over-year comparisons. Same format, same length, same delivery.
- 06
Ask anything in plain English.
Ad-hoc questions go to the AI Assistant: "What's the worst variance pattern across all stores last week?" The answer cites the source rows; no manual report-pulling.
Who uses this, and how.
Owner of 1–3 c-stores currently running reports manually.
The 7 AM brief replaces the morning routine of opening four reports. Drill in when needed; otherwise the brief is the whole interaction.
Multi-store owner (5+ c-stores) building a master spreadsheet today.
Retire the spreadsheet. Portfolio rollup with per-store drill-down replaces the cross-store aggregation work. Regional-manager scoping replaces the workbook permissions hack.
Bookkeeper preparing month-end reports for the owner.
Month-end becomes a review, not a build. Category sales, margin, cash variance, lottery exception, manager performance all generate from the underlying transactions.
New operator wanting reporting from day one.
Start with the daily brief instead of building a spreadsheet from scratch. The format scales from one store to fifty without restructuring.

StationPro vs. pos reports + master spreadsheet.
| Dimension | StationPro | POS reports + master spreadsheet |
|---|---|---|
| Daily owner brief | 1-page email/SMS at 7 AM | Open 4 reports yourself |
| Category margin rollup | Automatic, per store | Manual spreadsheet aggregation |
| Manager performance ranking | Cross-store, by KPI | Subjective evaluation |
| Ad-hoc questions | AI Assistant, cited | Pull and join reports yourself |
| Multi-store rollup | Real-time portfolio view | Cross-store spreadsheet |
| Report length | Phone-screen, scannable | 60-page PDF |
| Onboarding new store reporting | Auto-included | New spreadsheet column structure |
Questions, answered.
How is the daily brief delivered?
Email by default, with optional SMS. Timezone-aware delivery (7 AM in the operator's local time). Per-recipient: each owner, regional manager, or bookkeeper gets a brief scoped to their store list.
Can I customize what's in the brief?
Yes. The default brief covers sales, EOD status, top variances, lottery exceptions, and fuel margin. You can add or remove sections (e.g., a tobacco-shrink section, a vendor-invoice section) per recipient.
How does the AI Assistant know my data?
The AI runs queries against your tenant's data, your store rows only. It never trains on your data and never references other tenants. Every answer cites the source rows so you can verify.
What about historical reports?
Every brief is archived and queryable. The AI Assistant can answer questions like "What was the worst variance pattern in Q1?" or "Compare this June to last June." Data retention is 7 years by default.
Does this replace QuickBooks reports?
No, it sits alongside QuickBooks. QB stays the accounting ledger; StationPro is the operational reporting layer. The two systems share data (EOD posts to QB; QB reflects back into reconciliation views) so there's no double-entry.
